Use the evidence and practical questions in this article to test your own assumptions. Any worked examples use hypothetical inputs.
Begin with the use of the space
A commercial lease decision should begin with the business activity the premises must support. Document equipment, customer access, storage, staffing and expected hours. Confirm operational requirements with the relevant professionals and authorities before assuming the location can accommodate them. A visually attractive space can still be unsuitable for a particular operation. This guide organizes business questions for review; interpreting permitted use, obligations and local requirements needs advice specific to the actual property and contract.
Build the full cash calendar
List deposits, initial rent, fit-out payments, equipment installation and recurring property-related charges using current written terms. Ask how shared costs are calculated and when adjustments can be billed. Put payment dates beside the amounts. For a hypothetical studio, a rent-free period may still coincide with substantial construction and deposit payments. It should not be treated as a cash-free opening. Keep assumptions about opening sales separate from commitments that begin before trading.
Check changes and interruptions
Prepare questions about alterations, maintenance responsibilities, delivery access, service outages and the condition in which the premises must be returned. Clarify who authorizes work and how delays affect the opening plan. Have qualified counsel review guarantees, assignment, renewal and termination provisions. Verbal assurances from a leasing conversation may not resolve the effect of the signed terms. Maintain an unresolved-questions list and reconcile important answers with your adviser before committing.
Compare scenarios rather than rent alone
Compare the total operating impact of candidate spaces, including delivery capacity, travel, fit-out, downtime and exit costs. Test a later opening and a slower sales ramp. Preserve evidence behind the budget, such as contractor quotes and the draft lease version. A lower headline rent can coexist with higher operating commitments. The final decision should connect the property to the business plan and cash forecast, with legal interpretation left to appropriately qualified professionals. This is a planning checklist, not a review of a particular lease.
The pre-commitment property meeting
Bring the intended-use description, contractor quotes, current draft terms and cash calendar into the same review. Identify which opening conditions are within your control and which depend on another party. Ask what happens if those conditions are delayed. Keep unanswered operating questions visible while your adviser handles legal interpretation. Compare the location with a realistic alternative rather than considering headline rent in isolation. Record why the chosen space supports the actual business plan, and retain the evidence behind the opening date and spending assumptions.
The working notebook
Compare the total cost of the premises
Compare premises using the whole occupancy obligation, not only the headline rent. Define the area, permitted use, preparation work and responsibility for repairs. A promising location can still be unsuitable if the proposed activity is not permitted or the required work cannot be completed on the intended schedule. Obtain advice on the actual agreement and address before making a binding commitment.
A hypothetical monthly comparison of $4,000 base rent, $800 additional charges and $300 insurance produces $5,100 before utilities and any excluded costs. A cheaper base rent could have a higher total if those other obligations differ. Model deposits and fit-out separately because they affect opening cash even when they are not recurring monthly expenses.
Questions to resolve before acting
- What is excluded from the advertised rent?
- Who pays if required work changes?
- What happens if opening is delayed?
