Identify the person or entity on the form
EIN, ITIN and SSN identify different taxpayers or serve different administrative functions. An Employer Identification Number identifies a business entity for federal tax administration. An Individual Taxpayer Identification Number is issued for federal tax purposes to eligible individuals who need a taxpayer number but are not eligible for an SSN. A Social Security number belongs to an individual. Start with the official form instructions and identify who is being asked to provide the number. Do not insert an entity’s EIN in every field simply because the transaction relates to a business.
Separate tax identification from permission and approval
The IRS explains that an ITIN is for federal tax reporting and does not create work authorization or immigration status. Likewise, obtaining an EIN does not by itself create a company, license an activity or approve a bank account. Company formation, beneficial ownership questions, occupational licensing and tax identification are separate matters. A bank or payment provider may ask for both entity and individual information under its procedures. Verify the applicant category and instructions before applying, and use the IRS’s own channels for a government identification request rather than assuming a paid intermediary is required.
Keep the records consistent
Match the legal name and number to the relevant official record before submitting payroll, tax or banking paperwork. A trading name can differ from a legal entity name, and a disregarded entity can raise specific form instructions about the owner’s information. Ask a qualified tax professional when the correct combination is unclear. Store confirmation letters and identity records securely and restrict unnecessary copying. If a provider reports a mismatch, resolve the underlying name or classification rather than repeatedly trying different numbers. Keep a record of changes so future filings use the correct current information.
- Identify whether the form asks about the business, owner or employee.
- Follow the current form instructions for the correct taxpayer category.
- Keep official number confirmations and legal-name records securely.
