Use the evidence and practical questions in this article to test your own assumptions. Any worked examples use hypothetical inputs.
Separate the form from the electronic check
Form I-9 documents verification of identity and employment authorization for covered US hires. E-Verify compares information from the form with government records for participating employers. It does not replace completing the form. Participation requirements can depend on federal contracts, state law and the employer’s situation. Read current USCIS, E-Verify and Florida guidance for the business rather than assuming the process is optional or mandatory for every employer under the same rule.
Assign the work and the deadline
Use the current form edition and official instructions to identify employee and employer sections, completion deadlines and any permitted examination procedure. Create a checklist tied to the person’s actual start date, with a backup reviewer when the usual contact is absent. Remote work does not mean document examination can be improvised through an ordinary photograph. If using an authorized alternative procedure or representative, follow its specific conditions and retain the required evidence.
Respect document choice and mismatch procedures
The Department of Justice explains that employees may choose acceptable documentation from the official lists. Do not demand a particular document because of citizenship, national origin or an assumption about the worker. If an E-Verify mismatch occurs, follow the current notice and contest process; it is not by itself a final determination of ineligibility. Avoid making adverse decisions before the official process permits them. Keep the worker informed through the required procedure and limit access to the record.
Keep records secure and review exceptions
Store forms and related records under a controlled retention and access process. Keep the review factual: dates, version, reviewer and any correction made according to the official instructions. Special cases such as rehires, expiring authorization or missing documents require the appropriate guidance rather than a blanket shortcut. A small employer can benefit from a calendar and a second-person check without collecting more sensitive information than necessary. Consult an employment professional when the facts are unclear; a completed checklist alone does not settle legal eligibility.
Check process completion separately
Keep a status record for form completion and a separate status for any required electronic verification. Do not copy sensitive document images into a broad hiring tracker. An exception should identify the responsible reviewer and next action without disclosing unnecessary immigration or identity details.
