Payment terms belong in the agreement

An international invoice should reflect an agreed payment arrangement rather than introduce new conditions after shipment. Trade.gov’s payment resources distinguish methods such as advance payment, letters of credit, documentary collections and open-account terms. Each distributes risk differently. A US seller should agree the currency, amount, due-date trigger and payment route before committing to production or delivery. Specify whether a deadline runs from invoice date, shipment, document acceptance or another defined event. A phrase such as payment soon after arrival leaves room for disagreement about both the date and the event that starts the clock.

Make fees and beneficiary details explicit

Identify the legal beneficiary, approved bank details and the reference needed for reconciliation. Agree who bears transfer, intermediary and conversion charges so a short receipt does not become a recurring dispute. Verify any change of bank instructions through a separately known contact, not only by replying to the email requesting it. Avoid treating a payment screenshot as settled funds. Ask the financial institution how confirmation and availability work for the chosen route. Keep sensitive banking information in controlled records and share it through the approved process rather than including unnecessary personal details in public documents.

Connect collections to shipment and credit decisions

Set an escalation route for late payment, disputed goods and missing documents. Decide who may extend credit or release a further shipment when an invoice remains unpaid. A hypothetical exporter can grow sales while running short of cash if longer terms are offered without funding the gap. Put the expected receipt dates into the cash forecast and review customer concentration. Use appropriate legal and banking advice for the agreement and any trade-finance instrument. The useful outcome is a payment process both parties can follow and the business can reconcile, not simply an invoice carrying a familiar payment abbreviation.

  • Agree currency, due-date trigger and payment method before shipment.
  • Verify beneficiary changes through an independent known contact.
  • Track settled receipts, fees, disputes and credit exceptions.
