Use the evidence and practical questions in this article to test your own assumptions. Any worked examples use hypothetical inputs.

Compare issuer, limits and replacement process

A cashier’s check is issued by a bank using its own payment obligation after collecting the purchaser’s funds. A money order is a prepaid instrument offered by eligible issuers, including USPS, under their own limits and fees. Neither is automatically appropriate for every deposit, rent payment or private sale. Ask the recipient what it accepts, then compare the issuer’s current fee, maximum amount, identification requirements and lost-instrument process. Keep the purchase receipt and instrument details securely until the payment is fully resolved.

Verify the instrument independently

A professional-looking check can still be counterfeit. Contact the issuing institution using a number you obtain independently, not a number printed in a suspicious message. USPS provides resources for inspecting and checking its money orders. A deposit becoming available for withdrawal does not prove the underlying payment is genuine. An overpayment followed by a demand to send money back is a major warning sign. Do not release a vehicle, valuable item or refund merely because an app displays a provisional balance.

Design the transaction before the handover

For a hypothetical private sale, agree in advance on the accepted instrument, who is named as payee and how verification will occur. Meeting at the issuing bank may help the parties understand the payment, but follow the bank’s actual procedures rather than assuming an employee guarantees a separate sale. Keep the bill of sale, payment evidence and agreed delivery record together. If an instrument is lost, stolen or suspected of fraud, contact the issuer promptly and ask about its inquiry process. Replacement may take time and involve fees or additional documentation.

Keep the recipient details exact

Confirm the payee’s exact spelling and delivery method before purchasing an instrument that may be difficult to cancel. For a property transaction, independently verify the closing instructions with the known settlement contact. A message announcing a last-minute payee change should trigger a verification call, not an immediate replacement payment.

Frequently asked questions

Does available balance prove a check is genuine?

No. Availability and final verification are different. Ask the bank about the specific deposit.

Should I return an unexpected overpayment?

Do not send money before independently resolving the payment with the institution; overpayment requests are a known fraud pattern.
